Set up a live guest-photo slideshow at your wedding reception

Arrange a screen, a connected device and someone who can stop the display. Rehearse with the actual album before the reception, and tell guests that submitted photos may appear on the screen. A live slideshow needs a display plan as well as an upload link.

Give one person the screen job

In a wedding forum, a commenter wanted guest uploads and a live wall. Plan collection and display separately so someone can look after the screen.

Ask a willing friend or supplier to handle the screen for an agreed part of the evening. Give them a contact at the venue and a clear instruction to pause the display during speeches or whenever someone asks for a picture to be removed.

Write the equipment handover

Ask the venue which screen is available, what inputs it accepts, who supplies the connecting device and where power is located. Confirm the adapter with the person bringing the laptop or other device; then try the connection before the wedding.

At the venue, open the slideshow on that device, connect the screen and test an upload from a separate phone. Check the crop on a portrait picture and the readability from a seated table. Keep cables out of walking routes with the venue team.

Set up guest uploads

Explain the display before guests contribute

Example sign wording: “Share a reception photo with us here: [album link]. Photos may appear on the screen tonight. Please ask the people pictured before sharing.”

Choose the collection’s viewing settings separately from the decision to project photos in a room. If you need to approve every picture before projection, verify that exact workflow in your chosen service. When it cannot be confirmed, use a prepared selection instead.

Agree sharing and display preferences

Prepare the instruction card

Rehearse a quiet fallback

Prepare a small approved set on the display device, or agree to turn the screen off if the connection drops. Rehearse switching away from the live feed without opening private messages or the host’s account on the big screen.

Keep the display optional. Position it where interested guests can look without competing with the ceremony or obstructing the photographer. After the event, download the collection rather than treating the screen as your archive.

Practical questions

Does making the gallery private guarantee private projection?+

A private gallery controls access to the online collection. Anything projected in the room is visible to the people there, so agree display permission separately.

Can we guarantee every upload will appear immediately?+

Plan around the actual connection and tested service behaviour. Keep a fallback and avoid promising an exact delay to guests.

Prepare the guest upload link
